2. What personal data we collect and how we use it

  • We may collect personal information directly from you, whether in person, by telephone, by email, through a website form, or during an appointment with one of our advisors. This may include information you provide when requesting a quote, making an enquiry or arranging an appointment.
  • During a home visit, remote meeting or telephone appointment, your advisor may collect further information about you, your personal and financial circumstances, your estate, and the individuals you wish to include in your Will or other legal documents. We collect this information so that we can understand your circumstances, provide appropriate advice and prepare the services and documents you have requested.
  • We may contact you by telephone, email or in writing where necessary to discuss your matter, arrange appointments, obtain further information, provide updates or otherwise deliver the services you have requested.
  • Where relevant to your instructions, we may also obtain or verify information from third parties or public registers. For example, we may obtain information from HM Land Registry to confirm ownership or other details relating to a property.
  • We will never sell your personal data, and we will not use it for marketing without your explicit consent.

3. Legal basis for processing

Under UK GDPR, we rely on the following lawful bases:

  • Consent, when you submit an enquiry form, you consent to us contacting you about that enquiry.
  • Contract, when you instruct us to provide services, we process data necessary to perform that contract.
  • Legal obligation, for anti-money laundering checks and record keeping requirements.
  • Legitimate interests, to maintain the integrity of our records and respond appropriately to any complaint or claim.

4. Who we share your data with

We share personal data only with parties who need it to deliver our services to you. These may include:

  • Will writers and estate planning specialists who draft documents on your matter
  • The Office of the Public Guardian (for LPA registration)
  • HM Land Registry, banks, or other third parties where necessary to fulfil your instructions
  • Our accountants, IT providers, and document storage providers (under written confidentiality terms)
  • Regulators, law enforcement, or courts where we are legally required to do so

We do not transfer your personal data outside the UK unless adequate safeguards are in place under UK GDPR.

5. How long we keep your data

We retain personal data only for as long as necessary:

Prospective clients and enquiries: Where you make an enquiry but do not proceed with our services, we will normally retain your personal information for up to three years from our last meaningful contact with you, unless there is a legitimate reason for us to retain it for longer. Where you have consented to receive marketing communications, we may continue to use your contact details for this purpose until you withdraw your consent or object to receiving such communications. If you ask us not to contact you, we may retain limited information on a suppression list to ensure that your preferences are respected.

Client files: Where you become a client of the business, we will retain your personal information and records relating to the services we have provided to you for the duration of our relationship with you. Where we are informed of your death, we will normally retain your records for a further period of seven years from the date on which we are notified of your death. This is to enable us to maintain appropriate records of the advice and services provided, respond to any queries or claims that may arise following your death, assist your personal representatives or beneficiaries where appropriate, and comply with our legal, regulatory and professional obligations. Certain information may be retained for a longer period where we are required or permitted to do so by law or where there is another legitimate reason for its continued retention.

6. Your rights under UK GDPR

You have the right to:

  • Access, request a copy of the personal data we hold about you.
  • Rectification, ask us to correct inaccurate or incomplete data.
  • Erasure, ask us to delete your data (subject to legal retention obligations).
  • Restriction, ask us to limit how we use your data.
  • Objection, object to certain processing, including direct marketing.
  • Portability, receive your data in a portable, machine readable format.
  • Withdraw consent, where processing is based on consent, you can withdraw it at any time.

7. Third party processors we use

We use a small number of trusted third party providers to operate this website and run our business.

We do not transfer your personal data outside the UK or EEA unless adequate safeguards (UK International Data Transfer Agreement, Standard Contractual Clauses, or an adequacy decision) are in place.

8. Cookies and website analytics

Our website uses cookies as follows:

  • Strictly necessary cookies: required for the site to function (for example, remembering your cookie choice). These are set without consent under the PECR Regulation 6(4) exemption.
  • Analytics cookies (Google Analytics 4): set only after you accept via our cookie banner. Used to understand how visitors use our site so we can improve it; never used to identify you personally.
  • Advertising cookies (Google Ads conversion tracking): set only after you accept via our cookie banner. Used to measure the effectiveness of our advertising.

9. Security

We take appropriate technical and organisational measures to protect your personal data against unauthorised access, alteration, disclosure, or destruction. This includes encrypted communications, secure storage, role based access controls, and limited internal access on a need to know basis. Despite these measures, no system can be guaranteed 100% secure; we will notify you and the ICO without undue delay if a breach affecting your rights occurs.

10. Marketing

We will only send you marketing communications about our own services if you have explicitly opted in, or where you are an existing client and we are relying on the "soft opt in" exception under PECR. Every marketing email contains an unsubscribe link. We do not share your details with third party marketers.

We may update this policy from time to time. The "last updated" date at the top reflects the latest version. Significant changes will be communicated to clients directly where appropriate.
